Special Assistant, National Security International Policy

American Progress has an immediate opening for a Special Assistant to the National Security and International Policy team. The Special Assistant will support the team’s Vice President and Managing Director, as well as the entire National Security and International Policy team. This position involves managing the day-to-day operations of the team, coordinating meetings and events, scheduling, research support, and managing important communications among and on behalf of senior staff. The right candidate will be highly organized, detail-oriented, and responsible, as well as able to multitask while delivering high-quality support to the team.


  • Provide administrative support to the Vice President and Managing Director for National Security and International Policy, including scheduling, booking travel, greeting guests, and performing other tasks as needed.
  • Assist the National Security and International Policy team in all aspects of its work, including coordinating projects, drafting preparatory and research memos, answering phones, greeting guests, and handling meeting logistics.
  • Compile, draft, and format monthly reports on the status of the team’s activities and their impact.
  • Assist in coordinating outreach strategies for the release of American Progress’ products and public events.
  • Process and submit the team’s financial authorization forms, travel authorization forms, and check requests.
  • Schedule and organize meeting space for interdepartmental and intradepartmental meetings.
  • Maintain the team’s products and events calendar and manage regular team meetings.
  • Keep American Progress staff updated on news and events related to national security and foreign policy and respond to requests for information from staff.
  • Perform other duties as assigned, including assisting other members of the National Security and International Policy team.

Requirements and qualifications:

  • Bachelor’s degree.
  • Prior work experience; summer jobs, internships, or part-time work may be sufficient.
  • Excellent interpersonal skills and both oral and written communication skills.
  • Knowledge of the Washington, D.C., and national political and media landscape is preferred.
  • Superb research and writing ability.
  • Ability to be a self-starter who takes initiative and seeks direction as needed.
  • Ability to plan ahead, set priorities, and multitask.
  • Willingness to take independent ownership and initiative in relation to the team’s overall administrative organization.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Proven ability to work in a fast-paced environment, both independently and as part of a team.
  • Experience working with 501(c)(3) and 501(c)(4) organizations is a plus.
  • Knowledge of Salesforce is a plus.
  • Commitment to American Progress’ mission and goals.

This position is part of a bargaining unit represented by IFPTE Local 70.
