Summary

American Progress has an immediate opening for an Executive Coordinator to support its operational initiatives. The Executive Coordinator will support the president of the Center for American Progress Action Fund’s efforts more broadly and be responsible for coordinating and implementing projects related to operations, ensuring project goals and timelines are met, and facilitating communication between teams in the Advocacy and Outreach department in particular. The ideal candidate will have excellent organizational skills, strong attention to detail, and some experience working in project management.

Responsibilities:

  • Facilitate communication between teams to ensure project success.
  • Assist in the tracking of department and project expenses.
  • Ensure that all project documentation is up to date and accurate.
  • Schedule appointments, interviews, meetings, travel, and conferences for thepresident, as well as coordinate team meetings for the Advocacy and Outreach department.
  • Manage expenses, reimbursements, timesheets, and other administrative duties for the president.
  • Produce and maintain notes, briefing materials, calendars, and databases as needed.
  • Create, organize, and maintain accurate written and electronic files for metrics,grant reporting, and other uses.
  • Support various senior team leaders in the Advocacy and Outreach department on specific projects as needed, including helping to ensure project execution is timely and tracking progress toward goals.
  • Handle confidential and nonroutine information and matters.
  • Manage CAP Action invoices, contracts, and other administrative forms.
  • Liaise between the Development department and the president to track and monitor timely review of grant reports; further act as liaison with the Development department to assist in project managing with respect to aspects of individual giving and corporate/labor relations.
  • Perform other duties as assigned.

Requirements and qualifications:

  • At least three years of experience in project management or business administration-related field.
  • Excellent organizational skills and strong attention to detail.
  • Strong communication skills and ability to work collaboratively with others.
  • Demonstrated ability to manage multiple projects simultaneously.
  • Experience with project management tools and software.
  • Strong analytical and problem-solving skills.
  • Ability to work independently with minimal supervision.
